Running a restaurant shift is difficult enough without guessing who agreed to work. This free weekly schedule starts with the role the service needs, then helps you check who is actually available. It is intentionally a spreadsheet, not a promise that an app can assign staff safely without knowing their availability or the rules that apply to your restaurant.

Download the free restaurant staff schedule (CSV) — open it in Excel, Google Sheets or Numbers. No account, email address or card required.

What is in the template

Each row represents one role to cover on one shift. The editable fields are:

  • Day and service: lunch, dinner or a custom service window.
  • Role: examples include opener, line cook, prep, server, cashier or supervisor. Use your actual positions.
  • Employee and availability: distinguish a proposed assignment from availability that the employee has confirmed.
  • Start, end and breaks: enter local times; the template deliberately does not calculate payroll or compliance for you.
  • Coverage gap and approval: a visible way to flag missing coverage and hold the schedule for a manager's review.
  • Notes: keep operational needs and contingencies near the shift, without private staff information.

The rows are examples of coverage slots, not sample employee records. Nobody is assigned when you download the file.

How to schedule a restaurant week

  1. Map demand first. Use reservations, last week's sales, known events and opening hours to identify the busy parts of each day. Don't assume yesterday's staffing is right for tomorrow.
  2. Define minimum roles. List the people and skills a safe, effective service requires: opening, food prep, floor, cash, management and closing as applicable.
  3. Collect availability. Ask your team about time off and confirmed working windows through your normal approved communication method. Don't turn an unanswered request into a confirmed shift.
  4. Propose coverage. Add names to available roles, respecting any training requirements, role limits and approved labour budget. A scheduling template cannot interpret local employment standards by itself.
  5. Review conflicts. Flag missing coverage, double bookings, rest periods, break requirements, overtime and changes from previous approved schedules.
  6. Approve and distribute. The manager confirms the final version and distributes it through the restaurant's usual channels. Record changed shifts and who acknowledged them.
  7. Brief the next shift. Summarize coverage gaps, a special event, items unavailable, reservations and tasks requiring an owner decision.

Example: the Tuesday dinner gap

Suppose Tuesday dinner needs a supervisor, two kitchen positions and two floor positions. You have two confirmed kitchen availabilities but no confirmed supervisor. The sheet should show Supervisor — Coverage gap, not invent a worker or quietly reassign somebody. Your next action is to ask the right person, confirm availability and update the approved rota.

This is a more useful first job for Kitch than generating a beautiful schedule with made-up names. Kitch can help prepare a draft and flag unanswered questions; you confirm assignments before anyone is notified.

Turn the worksheet into a staff brief

A short service brief needs only the information the team can use:

  • Date, service, restaurant location and approved working times
  • Who is responsible for opening and closing
  • Confirmed coverage and specific gaps still being resolved
  • Special events, large reservations or menu limitations
  • Which changes need manager approval

Ask Kitch to draft that brief using only your confirmed details. Never paste confidential personnel records, medical information or private employee credentials into a public marketing form.

What the template does not do

It does not integrate with payroll, notify staff, confirm an employee's consent, enforce employment standards or create an approved work schedule. Those steps need your policies, team data and the systems your restaurant is authorized to use.

Frequently asked questions

Can I use the file in Google Sheets?

Yes. Download the CSV and import it into a new sheet. You can add a separate tab for employee availability if needed.

Does this schedule automatically calculate overtime or compliance?

No. Labour rules vary by jurisdiction, role and contract. Review the relevant requirements and check any formulas you add before relying on them.

Can Kitch prepare next week's draft?

Kitch can start with your restaurant's known context and the information you provide, ask about availability and create work for review. Any actual staff notification or schedule change requires supported permissions and approval.
